About the Bilingual Executive Assistant Role

Reporting directly to the Provigo Group Director, the Bilingual Executive Assistant will support the efficient coordination of schedules, communications, reports and operational priorities. The position requires strong judgment, discretion and the ability to manage sensitive information professionally.

The role goes beyond traditional executive support by including data analysis, dashboard preparation, operational reporting and presentation development. The successful candidate will also help maintain communication between the Director, store teams, leadership groups and internal or external stakeholders.

Key Areas of Responsibility

The Bilingual Executive Assistant will support daily executive operations, reporting activities and communications across the Quebec Operations team.

Executive Administration

Manage the Director’s calendar, coordinate meetings and calls, organize appointments and support communication with internal and external stakeholders.

Reporting and Data Analysis

Compile, analyze and distribute operational reports, period-end summaries, tracking documents and dashboards for the Quebec Operations team.

Presentation Preparation

Create polished PowerPoint presentations for executives, leadership meetings, business reviews, store communications and operational updates.

Translation Support

Translate documents and communications from English into French while maintaining accuracy, clarity and an appropriate professional tone.

Meeting and Travel Coordination

Support meetings, conferences and events while arranging and confirming travel for the Director and designated team members.

Store and Operations Support

Respond to inquiries, follow up on outstanding items and assist stores with communications and social media-related coordination.

Required Qualifications and Experience

Applicants must be fully bilingual in French and English, both written and spoken. Strong experience with Microsoft Excel, PowerPoint, Word and Outlook is required, together with the ability to prepare executive-level presentations, reports, dashboards and professional correspondence.

Candidates should have experience managing a senior leader’s calendar, coordinating meetings, arranging travel and handling multiple priorities. Previous involvement in operational support, store communications or social media coordination may be considered an asset.
